3.2. Emailing users with new assignments

Emailing users in iWebPress is can easily mass mail an entire group of users or a single user at a time. After creating a single assignment, you might want to send an email to that assignment's author. However, this would be time consuming if you had to email each and every author his or her assignment. Thus, it is suggested highly that you create a group of assignments (such as all the assignments for an issue) and email them at once. See also: Emailing Users in the Users section.

Suppose you just added 10 assignments to a new issue. After creating and assigning all 10 assignments, you want to email the authors. To do so:

  1. Navigate to the Find Assignments page by selecting Issues > Find Assignments.
  2. Limit the search criteria to find the assignments you want to email. For instance, if you just created 10 new assignments, you can use the quick search for uncompleted assignments.
  3. Click Email these Users, which is a tab at the top of this page. This will pop up a warning, asking if you want to use a template or blank email. Select OK to use a template.
  4. Select a template from the Choose a template window that will appear. If you have never customized your email templates, use default iWebPress Assignment Sheet. To do so, select mailroot and select Assignment Sheet.
  5. Choose the recipients for the message by checking off who you'd like the message sent to. If the search performed above limited the users enough, you should simply need to click the box next to Assignees, which will in turn select all the assignees. You can also choose to de-select specific individuals to whom you do not wish to send this mail.
  6. Click Next at the bottom of this page.
  7. Give your message a subject and at your option control who the message is coming from. You can change your display name or even select which email the message should appear to come from (your personal mail or your paper's email address).
  8. Click Send.

Tip: When sending mail to a group of users, you can search on various criteria. The example above advised using the Uncompleted quick search. However, if you just created a group of assignments for a specific due date, you could use the advanced search and select only assignments due on a specific date.

After creating a single assignment, you may want to email just this user. To mail a single user his or her assignments:

  1. Navigate to the Find Users page by selecting Users > Find Users.
  2. Search for the user to which you wish to send the message.
  3. Click the user's email address.
  4. Select the message type by clicking Send user(s) a template message. Click Next.
  5. Select a template from the Choose a template window that will appear. If you have never customized your email templates, use default iWebPress Assignment Sheet. To do so, select mailroot and select Assignment Sheet.
  6. Give your message a subject and at your option control who the message is coming from. You can change your display name or even select which email the message should appear to come from (your personal mail or your paper's email address).
  7. Click Send.
